About the Project

The R2A Administrative Assistant is part of the Regenerative Ranching and Agriculture (R2A) Strategy team and will perform various administrative tasks for the R2A projects, especially for the Future Landscapes project. The project aims to implement and finance ecosystem-based Adaptation practices for the Food and Agriculture Sector to reduce climate risk and environmental impacts in Latin America and is primarily funded by the International Climate Initiative (IKI).

About the Role

The tasks for this role include organizing and maintaining files, ensuring proper naming conventions, formatting, archiving and maintaining organized and audit‑ready folders in shared repositories. The assistant will provide operational support for payments and contracts, preparing documentation according to organization’s guidelines and templates, scheduling and coordinating logistics of meetings and special events. They will communicate on behalf of the supervisor with internal and external sources, including staff, partners, government officials and donors. They will use available systems and resources to maintain and track data and produce reports as needed, and will interact frequently with staff throughout the program and in other Conservancy offices, and with vendors. The position holds primary responsibility in the prioritized Future Landscapes countries and its Iconic places in Latin America, including Colombia, Ecuador, Peru, Argentina and Paraguay, and provides support to initiatives in Mexico, Belize, Guatemala and Brazil.

Responsibilities & Scope

Documentation & Compliance

  • Assemble, organize, and maintain complete and well‑structured operational documentation packages for contracts, payments, events, and project activities, ensuring proper naming conventions, version control, formatting, and audit‑ready digital archiving.
  • Prepare and validate payment and contract documentation packages, ensuring completeness and adherence to institutional checklists, guidelines, and safeguards requirements.
  • Support compliance with the project’s safeguards system by incorporating required measures, protocols, and standards into relevant documentation, agreements, and contracts.
  • Review means of verification (e.g., attendance sheets) and other supporting documents in coordination with the MEL Specialist to ensure accurate project reporting.

Administrative & Logistical Support

  • Execute standardized logistical and administrative tasks defined by the Project Management Coordinator, including preparing attendance lists, event materials, templates, forms, and post‑event documentation.
  • Coordinate travel logistics for internal staff and external guests, including transportation, reservations, lodging, itineraries, and meals.
  • Request quotations, compare offers, and support supplier selection following internal procurement guidelines.
  • Handle administrative financial tasks such as processing invoices, preparing accounting forms, processing purchases, and preparing travel expense reports.
  • Provide administrative support for recruitment and onboarding processes.

Operational Systems, Tracking & Workflows

  • Update and maintain digital operational dashboards, trackers, and workflow systems to accurately reflect the status of payments, contracts, events, and project evidence.
  • Monitor key operational deadlines, including contract expirations, policy renewals, reporting deadlines, and payment due dates, ensuring responsible staff and supervisors remain informed.
  • Assist team members in onboarding and using operational systems, tools, and processes.

Team Support & Coordination

  • Manage the team’s shared calendar, maintain updated distribution lists, and organize recurring team calls.
  • Participate in assigned projects by providing reliable administrative and operational support to the R2A team.

Other Responsibilities

  • Work overtime when required, depending on project needs and deadlines.
  • Perform duties in a work environment with minimal physical effort and infrequent exposure to disagreeable elements.

What You’ll Bring

  • Bachelor’s degree plus 2‑year experience or equivalent combination in business administration, accounting, economics, project management, or related fields.
  • Minimum level of English to communicate, especially written.
  • Experience managing diverse activities to meet deadlines.
  • Experience providing administrative support, including customer service, mail distribution, coordinating travel arrangements and meetings, or organizing files.
  • Experience working and communicating with a wide range of people.
  • Experience writing, editing, and proofreading written materials.
  • Strong interpersonal skills to work effectively with others.
  • Strong organizational skills and attention to detail.

Desired Qualifications

  • Multi‑lingual skills and multi‑cultural or cross‑cultural experiences are appreciated.
  • Ability to analyze available information for the purpose of preparing reports and solving problems.
  • Database skills.
  • Familiarity with standard business communications.
  • Excellent customer service skills and focus.
  • Strong organizational skills and attention to detail.
