Was macht ein Administrative Assistant (m/w/d) bei WPP Production?

Als Administrative Assistant (m/w/d) hältst du unserem Management den Rücken frei – vom Kalender- und Terminmanagement, Reiseplanung, Kommunikationsorganisation bis hin zu Meeting Vorbereitungen. Gleichzeitig gestaltest du unser Office Management aktiv mit, sorgst für eine erstklassige Büroatmosphäre, kümmerst dich um das Bestellwesen und Dienstleister-Steuerung und bist für das Kultur- und Eventmanagement an allen drei Standorten verantwortlich. An den Schnittstellen zu HR und Finance übernimmst du zudem Verantwortung bei Themen wie der Dienstwagenverwaltung und der Kommunikation mit Behörden. Deine Aufgaben

Unterstützung des Managements

• Kalender- & Terminmanagement: Koordination von internen und externen Abstimmungen im WPP Netzwerk und mit unseren Kunden
• Reiseplanung & Spesenabrechnung: Planung und Buchung von Reisetätigkeiten und anschließende Reisekostenabrechnung
• Kommunikationsmanagement: Priorisieren und Sichten von anstehenden Aufgaben und in Teilen eigenständige Kommunikation
• Meeting-Vorbereitung: Erstellen von Agenden, Zusammenstellen von Unterlagen, Erstellen von Protokollen und nachhalten von Aufgaben, unterstützende Erstellung von Office Dokumenten

Office Management

• Verantwortung für das Office Management und das Bestellwesen (z. B. Büromaterialien, Verpflegung) für unsere Standorte inHamburg, Berlin und Düsseldorf
• Konzeption, Budgetierung und Organisation von Teamevents und Agentur-Veranstaltungen für alle drei Standorte (Hamburg, Berlin, Düsseldorf)
• Abwicklung der Post für die gesamte Agentur, Digitalisierung, Zuordnung und vertrauliche Weiterleitung von relevanten Dokumenten und Unterlagen an die zuständigen Ansprechpersonen in der Agentur
• Kontaktstelle für externe Anfragen
• Aktive Förderung einer positiven und einladenden Büroatmosphäre

Schnittstellen mit HR und Finance

• Betreuung der Dienstwagen in Zusammenarbeit mit dem zentralen WPP-Fuhrpark Management
• Proaktive Kommunikation und enge Zusammenarbeit mit internen Fachabteilungen (Finance, IT, Talent/HR)

Das bringst du mit

• Abgeschlossene kaufmännische Ausbildung (z. B. Kauffrau/-mann für Büromanagement, Hotelkaufmann/-frau) oder eine vergleichbare Qualifikation mit mehrjähriger Berufserfahrung im Assistenz-, Executive- oder Office-Management-Bereich (idealerweise im Agentur- oder Medienumfeld)
• Ausgeprägtes Organisationstalent, exzellentes Zeitmanagement und eine vorausschauende, strukturierte und selbstständige Arbeitsweise
• Hohe Dienstleistungsorientierung, Diskretion, Empathie sowie ein souveränes und verbindliches Auftreten gegenüber allen Hierarchieebenen
• Sehr gute Kenntnisse im Umgang mit MS Office (PowerPoint, Excel, Word, Outlook) sowie eine hohe Affinität zu digitalen Tools
• Fließende Deutsch- und sehr gute Englischkenntnisse in Wort und Schrift für unser internationales Arbeitsumfeld
• Ausgeprägte Hands-on-Mentalität, Begeisterung für Eventorganisation und Freude daran, eine positive Agenturkultur aktiv mitzugestalten
