Workplace Experience Ambassador

The Workplace Experience Ambassador is responsible for delivering exceptional client experience every day through enhanced engagement, proactive communication, and high‑touch service within properties. The role is predominately based at the Front of House (FOH) and is responsible for supporting the experience client site, combining a passion for service with hospitality‑focused workplace environment skills.

Job Responsibilities

  • Provide a warm, courteous and prompt welcome to all those entering the reception area.
  • Ensure security procedures for the building are followed by all entrants through reception.
  • Serve as the initial point of contact for all client employee inquiries, issues, troubleshooting, and feedback related to services within the workplace.
  • Execute Guest and Ambassador services in a manner consistent with the SLA’s, standard processes, professional brand image and compliance with applicable local laws, rules, and regulations.
  • Conduct routine walkthroughs and assessments of soft services delivery to ensure compliance with service‑level agreements, policies, regulations, and performance metrics.
  • Support data collection, analysis and reporting to ensure alignment with client goals and objectives.
  • Strive to continually improve experience service performance.
  • Achieve and exceed goals including performance goals, team goals and client goals and objectives.
  • Work with key account and client stakeholders to organize, host, and operationalize key engagement events within the assigned client location.
  • Work in accordance with health and safety measures and promote a culture of safety among colleagues, contractors and vendors.
  • Support facilities with proactive identification and logging of jobs and good catches.
  • Perform additional duties and support as required.
  • Collaborate within the account team in the delivery of Experience Services across all business lines (Facility Management, Engineering, Transactions, Projects, etc.).
  • Assist with third‑party vendor relationships and service partners to provide maximum service delivery.
  • Anticipate needs or concerns to exceed client expectations.
  • Build meaningful lasting relationships with client employees and guests.
  • Respond to all requests or issues within one day of receipt, including a personal follow‑up to ensure questions and requests are answered.
  • Identify potential risks and elevate them to prevent privacy breaches, security incidents or disruptions to client operations.
  • Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting best practices, new tools, process re‑engineering and other ideas to improve service delivery efficiencies.
  • Assist and work flexibly with client events as needed, ensuring flawless delivery.
  • Act as an event concierge and manage conference‑room bookings, including resolving scheduling conflicts.
  • Provide administrative and operational excellence for soft services.

Qualifications & Requirements

  • Competent in German and English.
  • Ideally have prior relevant experience in hospitality, facility/property management, operations or knowledge of commercial real estate.
  • Exceptional customer service skills and professionalism with a passion for hospitality.
  • Desire to develop within the workplace, gaining knowledge and expertise by supporting a multidisciplinary team.
  • Collaborative team player with a problem‑solving, service‑focused approach.
  • Highly adept at multitasking and capable of managing multiple projects effectively in a fast‑paced environment.
  • Up‑to‑date with industry trends and an interest in facilities management and customer service.
  • Good communication skills and willingness to share ideas for improvement.
  • Proficient with Microsoft Office and an interest in technology.
  • Adaptable to meet changing requests and daily projects.
