Administrative Assistant (m/f/d) to the Head of Marine Zoology

• Administration and organization of the secretariat of the Department of Marine Zoology at the Senckenberg Research Institute and Natural History Museum in Frankfurt, as well as a professorship that is based jointly at both Senckenberg and Goethe University Frankfurt.
• Coordination of the schedule for the head of department.
• Serving as the interface and contact person between Senckenberg and University central administrations and the scientific staff of the Marine Zoology department
• Administrative support for international scientists
• Processing invoices, assisting with and supporting budget management
• Providing services for the department, including procurement, travel documents, etc.
• Processing incoming/outgoing mail
• Preparing and following up on meetings, conferences, and scientific conferences, creating work and meeting documents
• Oversight of annual department budget and project budgets, preparing financial reports.
• Confident correspondence in German and English

Your profile

• Successfully completed training as a foreign language secretary or comparable qualification with several years of professional experience as a professional office assistant
• Confident use of MS Office applications and good skills with SAP or equivalent
• Very good verbal and written communication skills in German and English
• A friendly and confident manner as well as good communication skills
• Good organizational skills, social competence, discretion, and a high degree of trustworthiness
