Overview

Ocean Forwarding Customer Service Representative

Hamburg, Germany | Full-time

Join our dynamic logistics team and take ownership of end-to-end export operations for key customers. As an Ocean Forwarding Customer Service Representative , you’ll be the central point of contact—ensuring smooth shipment execution, proactive communication, and accurate documentation across global trade lanes.

Key Responsibilities

Export Operations (Primary Focus)

Manage supplier and carrier bookings in line with vessel schedules and rate agreements
Coordinate with overseas stations, customs brokers, and trucking partners
Handle export customs clearance and pre-carriage arrangements
Prepare HBL/MBL draft instructions and finalize Bills of Lading post-sailing
Complete AP/AR billing to close files accurately
Create and distribute complete pre-alerts to overseas offices and customers
Proactively report exceptions and ensure timely milestone updates

Cross-Trade Operations (Primary Focus)

Monitor information flow and milestones between origin and destination offices
Keep customers informed of schedules, changes, and exceptions
Complete AP/AR billing in accordance with company standards

Import Operations (Back-up Support)

Confirm bookings and provide carrier booking instructions
Review pre-alerts for completeness and accuracy
Monitor vessel arrivals and issue arrival notices
Ensure correct HBL/MBL release
Prepare customs clearance and trucking orders
Collect PODs and support timely billing and vendor payments

Additional Responsibilities

Ensure complete and accurate digital and physical file documentation
Align SOPs and documentation with Sales for smooth customer onboarding
Maintain proactive, professional communication with customers, vendors, and internal teams
Support Sales with rate requests and quotations
Prepare reports and conduct file checks to support accurate month-end closing
