Personal Executive Assistant to the CEO (m/f/d)

The Role & Responsibilities

The Personal Executive Assistant to the CEO is the CEO’s closest operational and organizational partner. This role ensures that the CEO can work efficiently, that priorities are clearly managed, and that all relevant topics are driven forward in a structured manner.

Key Responsibilities

Day-to-Day Executive Support

• Planning, coordinating, and prioritizing the CEO’s schedule
• Preparing meetings (briefings, materials, background information)
• Accompanying the CEO to key internal and external meetings
• Following up on meetings, including consistent tracking of action items

Communication Hub

• Acting as the first point of contact for internal and external inquiries to the CEO
• Filtering, prioritizing, and structuring incoming information
• Coordinating with senior management on behalf of the CEO
• Drafting and reviewing emails, speeches, and presentations

Decision and Work Preparation

• Preparing well-founded decision‑making materials
• Conducting rapid research on strategic and operational topics
• Structuring and summarizing complex issues in a concise manner
• Preparing KPI reports and status updates

High-Level Organization & Administration

• Planning and coordinating national and international travel
• Organizing board meetings and confidential discussions
• Managing sensitive documents and information
• Supporting confidential and strategic projects

Special Projects & Ad-hoc Tasks

• Handling short-term assignments directly from the CEO
• Supporting strategic initiatives
• Coordinating and executing selected projects

Your Profile

Professional Qualifications

• University degree (Master’s or PhD) in engineering or natural sciences (Preferred: Industrial Engineering, Chemical Engineering, Coatings Engineering, or Materials Science)
• Initial to several years of experience in an assistant, project, or consulting role
• Excellent MS Office skills (especially PowerPoint and Excel)
• Fluent in German and English at a professional (C-level) proficiency
• Proficiency in additional languages (such as Chinese or French) is considered a strong asset, particularly in a global business environment
